Management of profile export templates
Profiles can be exported in ProfileMap. To obtain standardized profiles, templates can be created and uploaded to ProfileMap that can be used for export.
To be able to call up the template management, the registered user requires the “ProfileManager” role. This role can be assigned by the “BSUAdmin” role.
Calling up the template management
Template management can be accessed in various ways.
Via the dashboard – i.e. the start screen directly after logging in:
Or via the menu, for example when you are in profile management:
Upload export templates
New templates can be uploaded using the “Upload” button.
Various metadata can be set when uploading the templates:
- Mandatory fields:
- Name of the template – must be unique
- Profile type – short or long profile
- Language – currently only English or German can be selected
- Optional information:
- Keywords – e.g. customer name, project name, department, “category” or similar
several keywords can be entered separated by commas. - “Profile picture” for the template – if desired, a type of profile picture can be uploaded for the template
- Keywords – e.g. customer name, project name, department, “category” or similar
The template can either be uploaded using drag & drop or via a selection window.
Click on the “Preview” button to download the template with your own profile data and check it.
The template is finally uploaded and saved in ProfileMap with the “Done” button.
When uploading, the business unit (BSU) of the registered user is automatically saved for the template.
Edit and delete template metadata
In general, the template can only be edited if the logged-in user belongs to the same business unit to which the template was assigned when it was uploaded.
The template can be deleted by clicking on the “Trash can” button.
If metadata of the template is to be edited, the “Pencil” button must be clicked.
Only the metadata that was set when the profile was created can be changed.
This includes the name, the keywords, the image and the profile type.
The language and the template itself cannot be changed.
The “Eye” button can be used to enlarge the “profile picture” of the template, if available.
To change the template itself, it must be downloaded in raw format, adapted accordingly and uploaded again as a new template.
If the same name is to be used again, the old template must be changed (new name) or deleted before uploading the new template.
Download template – with and without profile information
The template can be downloaded in the template management in two different ways:
- With profile data (own profile) 🡪 “Person” button
Here you can check (again) whether the template is correct and delivers the desired result. - Without profile data, only the syntax of the template 🡪 “RAW” button
The raw format can be downloaded, e.g. to make adjustments and create your own / a new template based on the template.
Search and find templates
Specific templates can be searched for using the search field. The search text entered is compared with the following metadata and hits are displayed:
- Template name
- Tags
Specific business units can be selected using the drop-down fields and filtered by a specific profile type.
In general, it is also possible to access the profile templates of other business units. This is intended to ensure that the selected template can be used by all relevant people for tenders across business areas.
